Our client is a well respected, national real estate company which owns, leases and manages, commercial, retail and industrial facilities across Canada

Role & Responsibilities:

• Reception duties -- first point of contact for office. Screen visitors, tenants, and vendors and manage or forward enquiries as required.
• Supply & manage card access system & facilitate tenant parking.
• Provide support to Property Manager in regards to the building -- assist to arrange vendor work, prepare & distribute notices to tenants of work being done in building, arrange fire & safety meetings & drills, arrange tenant appreciation events, arrange for seasonal decorations to be put up and other duties as assigned.
• Open incoming mail & courier envelopes and parcels. Process as required -- date stamp all mail, accounting stamp for all invoices, enter property and vendor codes, distribute as required.
• Process outgoing mail & courier envelopes and packages.
• Set up property & accounting (hardcopy) files.
• Maintain all property & accounting files including archiving old and year end files.
• General office duties - monitor, purchase & coordinate supplies for office and kitchen. Maintain Xerox copier, printer & postage machine. Keep boardroom, supply room and kitchen tidy.
• Other tasks and duties as assigned

Qualification & Education Requirements:

• Excellent verbal and written communication skills.
• Proven organizational skills and ability to meet deadlines.
• Detail oriented; able to resolve problems using facts and sound reasoning.
• Strong customer service skills and interpersonal skills.
• Self motivated, professional and flexible; able to work both independently and as part of a team.
• Proficient use of Microsoft Suites and experience in YARDI is recommended
• Highly organized and able to multi-task.
• Ability to supervise and to make independent decisions by providing guidance to contractors and tenants in the absence of the Property Managers.
• Minimum of two years prior property management experience preferred.
